Printing from Address Book to a Planner

I walked into Office Depot the other day and had the good fortune to find they had some very nice DayRunner brand planners on sale for a fraction of their original price. After a little inspecting I found that these were brand new planners that had been put on sale because they contained 2002 inserts. I use my PowerBook for most of my scheduling and have a Palm Zire while on the go, but I must admit that I am horribly inept at the “graffiti” writing style to input data into my palm, and a black leather planner looks much  more professional for a soon to be lawyer. So I picked up a $125 high quality planner for only $25.

The 2002 inserts really didn’t bother me because I planned to print my own inserts using the calendar and address book on my computer that I would update regularly and supplement with my hand-written notes to be added to the computer later.  Not a problem, in fact one of the advertised new features of Mac OS 10.4 tiger was that you’d be able to print planner inserts from the Address Book application. You can imagine my disappointment when I fired up Address Book and the process didn’t quite work out as I had hoped. Because the pages were formatted to work with a standard 8.5 x 11 page when you reduced it to print on my smaller 1/2 sheet DayRunner pages the text became difficult to read because of random text breaks.

Once again, a quick search of the Apple Support Forums saved the day! Here’s what I found:

In some other application, say Safari:
1) Choose File/Page Setup...
2) Select Paper Size: Manage Paper Sizes...
3) Create a new entry  with the proper measurements for your page size. Save the new entry and leave Page Setup.

In Address Book:
1) Choose File/Print...
2) Select Style: List
3) Select Paper Size: US Legal
4) Select Orientation: Portrait
5) Make sure the Address attribute is checked so it will print single columns.
6) Click the Advanced button
7) Select Paper Handling
8) Choose Scale to fit paper size and select the new paper size you created above.
9 Choose Odd numbered pages
10) Load your Franklin paper in the printer and press Print.

Go back and do it again but change step nine to Even numbered pages and reload the same paper you used on the first run taking care to order them correctly for your printer.

Thanks to William C. in the Apple Support Forums for the tip!
